Any references to Jaques Martin on the screen downloads included on the following pages should be read as references to Datacom.
How To Send Contributions Data Using The Internet

- Click ‘Online Services’ Option on the menu
- Next click on the ‘National Provident’ icon
- Select ‘employer logon’ link on the webpage, and you will then be asked to enter your User ID and Password
Once you are signed into the website, select the “Contributions” option. This page lists the previous contribution batches submitted through the website.
If you click on a batch number you will see the details of that batch.
From there you have the option to use these details to create a new reconciliation batch, which copies over the payment amounts shown for the members.
This has big advantages if there are only a few changes between the last payment and the current one. You will save time by avoiding retyping contribution amounts in for every member. You can simply change the ones required and submit the batch.
Alternatively from the main contributions screen you can create a new batch with blank data. This will give you a list of every active member linked to your employer contract with all the contribution amounts empty. This option is useful if you are making a one off payment to every member, or if the previous batches have only contained a few of your members.
Submitting Contribution Data
The first step is to create a contribution batch, either by selecting and copying a previous one or creating an entirely new one.
The next step is to complete the date and payment amount for this period.
The date needs to be entered in the correct format. i.e. 03/03/2008.
Then enter the amounts for the individual members. If there is a member shown who hasn’t made payments for the pay period then simply leave their contribution field blank.
If you are creating a new batch and you have contributions for a member that isn’t listed, this means that the member has not been enrolled yet. You cannot submit contributions for a member until they are enrolled.
If you are copying a previous batch and a new member has joined since submitting the previous batch you can add them. You will need a valid contract number to be able to submit contributions for the new member so that the employee is recognised by the system and money can be allocated to their member account. You will find the member’s contract number by clicking on the Member Details link on the left hand side of the page. Only enrolled members will be listed. Alternatively, you can contact Datacom on 0800 628 776 to request the member’s contract number.
Once you have finished entering the contribution details check that the totals match the payment amount you entered.
If you have any comments relating to the payment you can enter those in the message area. When the contribution batch is sent it creates a message which we can action or respond to.
Once you have completed all of the above, click on 'Send Contributions'.
You will then be asked to certify the contributions and submit the batch.
You currently certify your contributions by signing either the payment reconciliation or payment acknowledgement form that we send you.
Once you click on the submit button the contribution batch is sent to us and you are taken back to the main contribution page. You will see the batch you have just sent through has been assigned a batch number.
The status will be showing as received and awaiting banking. Once the contributions have been paid into the National Provident Fund bank account and have been identified as having been received by your organisation the status will change. You can check the batch status anytime you log on.
